Policies and procedures


Uley Under 5s Playgroup processes personal information about the children that attend the setting. This information is governed by the General Data Protection Regulation 2018. We collect information from you and may receive information about your child from their previous setting if appropriate.

We hold and use your child’s information to support their teaching and learning, monitor and report on their progress, provide them with pastoral care, and assess how well we are doing at meeting their needs.  Your child’s progress, including photographs and analysis, is recorded by staff electronically using an approved educational software package called Tapestry. 

The information we hold includes your and your child’s contact details, your child’s attendance information, and any relevant medical information. We hold parents' financial details and NI number, given to us to administer fees. We also hold information regarding contact details of staff, supply staff and committee members (including DBS and financial data).

We will not give information about you or your child to anyone outside the setting without your permission unless the law and our policies permit it.  We will pass on individual child records to the receiving setting when a child moves from one setting to another. This includes when a child moves from Uley Under 5s Playgroup to a new setting such as primary school.

On-site Safety

We endeavour to keep the children safe at all times. The front door is kept locked during sessions and should only be unlocked by members of staff. The side gate is padlocked during sessions and children are always accompanied by at least one member of staff when playing outside. Children are attached to our “Walkodile” harnesses in groups of six if taken out on visits or walks around the village, with a member of staff or an adult volunteer accompanying each harness.

Child Protection

All staff have been trained and are aware of the indications of abuse.

We acknowledge that abuse of children can take different forms – physical, emotional and sexual, as well as neglect.

All concerns will be discussed openly and transparently, however, if we suspect a child is suffering from significant or sexual abuse we are legally required not to inform the parents but to report it immediately to the local Safeguarding Board, tel no 01452 426565 and Ofsted 0300 123 1231.

Lost child

We endeavor to keep the children safe at all times through regular head counts, ensuring that all exits and gates are secure at all times.

In the unfortunate event that a child is missing, a member of staff would start looking immediately and call the child’s name.

If this situation were to arise off-site a member of staff would remain in the location and continue to search.

The police would be called within 5 to 10 minutes (from the moment the child is first missed). The parents would then be called.

After the event a detailed, accurate, account of the incident would be recorded and Ofsted 0300 123 1231 and the local Safeguarding Board 01452 426565 would be informed.

Uncollected child

In the event that a child is not collected by an authorised adult at the end of the session, the setting puts into practice agreed procedures. These ensure the child is cared for safely by an experienced and qualified practitioner who is known to the child. We will ensure that the child receives a high standard of care in order to cause as little distress as possible.

All reasonable attempts are made to contact the parents or nominated carers.

The child does not leave the premises with anyone other than those named on the registration form or in their file.

If no one collects the child after thirty minutes of  a session ending and there is no one who can be contacted to collect the child, we apply the procedures for uncollected children.

As members of Uley Under 5s Playgroup, all parents/carers are legally bound to follow the terms of the Confidentiality Policy. This policy covers all information either seen or heard about a specific child whilst attending a playgroup session. No information about any child should be discussed outside the boundaries of the setting and any concerns a parent/carer may have must be disclosed directly to the Manager or chairperson.
